Meeting Minutes 260208

GESL Meeting 260208

Meeting on 26/02/18 lasted from 430pm till 630pm. The following issues were discussed.

1.) Trip to Chiang Mai
a)It was agreed that the trip should take place between the 27th and the 31st of May.

b)The trip will last for 4D/3N and will take place between the stipulated time period as stated in the preceding point. The exact dates will depend on the availability of flights and Charlene has volunteered to find out more details regarding the flight schedules

2.) List of items to be included in the kids’ kits

a)The list of items to be included in the kids’ kits has been put online by the programmers already.

b)It was mentioned that the first aid kit would not be assembled by the Singaporean kids. Instead, the first aid kits could be bought using student donations. Another suggestion would be that we could use the $100 allocated to each GESL group and buy first aid kits. Kaili also suggested buying first aid kits from polyclinics as it would be cheaper.

c)Waiwang also mentioned that the kids’ kits will contain personal items. It will contain cards for the Thai kids to design for their Singaporean counterparts. He also suggested that we take a photo of a Thai kid with the kit received from his/her Singaporean counterpart and that this photo will be brought back to Singapore and distributed to the Singapore students who made the kits.


3.) Transportation of kids’ kits from Singapore to Thailand


a)Boxes of kids’ kits will be checked in by representatives form Homerun who will be flying to Thailand. Each person has 15kg of luggage allotted to them so it is feasible to check the kits in. This will also prevent any delay in the kits reaching the kids in Thailand.

b)Clarice has kindly volunteered to help in sourcing for boxes and other transportation materials so that we can save cost.


4.) Publicity/ IT and Treasurers broke up and discussed their various issues

a)Publicity will prepare the slides for the presentation when meeting Katong convent. Anisah has been nice enough to go about arranging a date with the school and will update on this as soon as possible.

b)IT will work on getting the website ready.

c)Treasurers are to get more details about the funding. Treasurers will also do their own proposal and submit to YCM to get funds for our project.

Progammers!!

Hi guys,

we programmers have come up with the following items to be included in the pack, feel free to comment.

Items to be packed:

Toiletries:
1)Soap (bar)
2)toothbrush
3)toothpaste
4)handkerchief
5)nail clipper

Stationery
1)notebook
2)Pen and pencils
3)Sharpener
4)Eraser
5)Ruler

** We have estimated that the cost of pack should be between $5-10 but should not exceed this amount.
The students can also add one of their own personalised items if they want, this is optional.


I had a conversation with Destin and apparently the school wants first aid kits as well. The programmers are proposing that we purchase 5 sets (estimated at $50 per set) and pay for it out of our own pockets.

Other issues:
There will be a compulsory personalised item from each student. This will be a card with the picture of the student on it to the kids in Chiang mai so our friends in Chiang Mai can identify who is giving the pack to them. The card should include a personal message and also their personal details such as their name and class. There will be a 'return to sender' slip in each card so that the children in Chiang Mai can maybe write a message back to our girls in Singapore.

I will be posting a diagram to show how the pack should look like as well as how the card should be made.

tiger airways

Tiger Airways allow each person to
1. check in 1 luggage of not more than 15 kgs and
2. one hand carry up to the cabin.

For a few days' trip, if can travel light, then one hand carry should be enough to load up everything you need. Unless you need to bring laptop n other equipments. Normally for me, i carry one cabin size luggage and one haversack into the cabin.

If we use cardboard boxes to load up the items, and we have 8-9 people going, then we can check in more than 110kgs, including some personal items, it will eventually be added up to 130kgs.

This way we are sure that the items reach there with us.

Forwarding is also possible, just need to make some advance arrangement. Any chance of getting sponsorship for this?

BTW, how many days do you all intend to stay there? For the adventurous, there are many outdoor activities you could do like elephant riding, mountain biking, (REAL mountain biking), rafting, trekking, etc. -Thian Beng

Hi guys,

Attached is the reply from one of the air freight forwarder:

Please to offer the air freight rate from S'pore to Bangkok airport (the nearest gateway toChing Mai ) at SGD 0.80 per kg.

They are still communicating with the counterparts in Bangkok to get more information from them for the door rates to Ching Mai. They will advise the transportation and the handling charges incur from Bangkok airport to the mention address in Ching Mai which was given by Kok Boon.

Will keep u guys update for the charges. However, since there are so many of u all going, we can consider handcarrying the presents for the kids.

Good news from Chiangmai



I just spoke to Director Yothin of SFL(school for life) and was told that we could go there in late May to 6 June instead of mid June. So those who like to go for this exciting trip please book your slot early so i could tell him and keep a look out for tiger airways weekly promotional rates which may appear on-line anytime now.

Hi guys,
this is the e-mail i got from my school.

Sounds like quite a nice thing for our Lower Sec to take up. Perhaps 4 classes of Sec 1 students would be good.
Anita, pls liase with Zakiah over how the Sec 1s can be involved. They can then do the packing / reflection during PC period. Pls prepare to provide istructions / deadlines / other logistics and admin directions for this project.
We do need publicity materials from Anisah about the group they are helping so that our girls can identify with the children in Chiang Mai and have more compassion for them.
We can then enlist the help of the PC trs to see the project through.

Meeting Minutes (12/02/08)

1. Chiangmai trip was discussed
  • Trip will be from the 18th to the 21st of June
  • Cost will depend on the number of people who are going. Approx 40 sgd per day per person. this will include 3 meals and laundry seervices. Airafre is approx 350-360 sgd on budget ariline.
  • there was a further suggestion from Thian Beng that we go 1-2 days earlier to film orphans on the streets to facilitate in the reflection excersice when we come back.
  • we are to confirm the exact attendance for the trip the next time we have meeting.
2. Funding
  • Funding will be obtained from young change makers (YCM)
  • treasurers will find out more details on funding procedure and update accordingly.
  • There were also suggestions to defray the cost of sending the Kits by getting sposorship from the airline.

3. Kids' Kits

  • It was suggested that something basic and geberic should be put into the kits because the age range for the Thai kids is from 6-16 years old. We are to ensure that the kits will be beneficial to all the kids irrespective of age. some examples of items were toothbrushes, excercise books and writing paraphernelia
  • About 160 Kits will be required

4. Contacts for schools

  • Destin suggested that we ask secondary schools first. this is because most of our GESl team members did contract teaching in secondary schools prior to NIE and thus might have contacts in these schools. In particualr the suggestion was to target Sec 1 students.
  • Once the contact has been made with a school and willingness shown, the publicity people will handle the negotiations. however the programme people will have to come up with something concrete for the publicity people to work with.
  • A website should also be up and running for the publicity people to use as a tool to convince the school. This website (made available to the public) was set up by the IT people during the GESL meeting session in the form of a blog titled Kids to Kids by Homerun. However there is still the problem of compressing videos to put up on this public domain blog. The publicity people are also to help the IT people conceptualize how the blog will look like. Kok Boon has volunteered towork with publicity and IT with the setting up of this blog.

5. Everybody then moved into their respective departments and worked throughout the rest of the meeting.

6. Things for people to do!

  • Programme people to come up with the actual specifics of the programme in 2 weeks time.
  • Logistics need the name of the school in Chiangmai to source for sponsorship
  • Everyone needs to contact their contract schools by the next meeting.
  • New public domain blog (which will include videos) to be worked on collectively by IT and Publicity people
  • Treasurers will find out more details on funding procedure and update accordingly

Today's discussion

Hi Guys and Gals!

This is what the 'Programmer' Group came up with today:

- As we know it, we will be dealing with about 200 secondary school students and will be making 160 packages for the kids in Chang Mai

Session 1
- Introduction on our Kids to kids project which would be done during assembly
- Question and answer session afterwards
- Providing students with our contact details to enquire about the things that they have to purchase and bring to put in the package.

Session 2 (Briefing and personalizing of items)
- Provide the students with a sample pack, so they know how it should be packed and how it should look like
- It should be a standard package with one variable item/ personalized (We have not decided on the item yet) - Logistics please head down to Daiso and see if you can purchase something for the children
-Zip Lock bags purchased and labels created (Blank white labels which students can decorate to write their name and class) to make it more convenient for administrative purposes)
- An example of the label should also be created so students have an idea of how it should be done

Session 3 (Packaging and Collection)
- Packaging and collection (Logistics please)
- Ask the students to do a mini reflection, oral or written. We can make some video recordings of how they feel and take pictures etc.

Session 4 (Reflection and mini performance)
- Can continue on the reflection aspect
- Do a mini cultural performance and record it on video



Apart from that we are hoping that the kids in Chang Mai can do a mini performance for the students in Singapore so that they have something to take back from their experience.

Other Issues

- Publicity please try to confirm dates with us
- Marketing can you please come up with funding for sponsorship of personalized items at this point in time we are thinking of water bottles that they can decorate or pencil boxes and plain t-shirts that they can design themselves for the children in Chang Mai.
-Another issue i would like to bring up is that there might be students who are on financial assistance and are unable to afford to purchase the items foe the children in Chang Mai. We will just ensure that these students will be able to participate in other ways k?
- We were also suggesting that for the personalized items, we could ALL help in cutting out a card thing for the kids in Chang Mai where our students in Singapore can put their photos and a message
